We built this policy to be fair, transparent, and as painless as possible for everyone. Travel plans change, life happens, and we want you to feel safe booking with a small company that actually cares.

Our General Philosophy
Because we work with small local partners, ice hotels that literally melt, and guides who turn down other work to save your spot, deposits and final payments are used immediately to lock everything in. That’s why refunds get stricter closer to departure, but we always try to meet you halfway when things go sideways.

Cancellation by You
If you need to cancel, the earlier you tell us, the more we can return. Here’s how it works:

More than 90 days before departure: full refund minus a $150 per person processing fee.
89–60 days before departure: we keep the deposit (usually 25 % of the total) and refund the rest.
59–45 days before departure: 50 % of the total price is non-refundable.
44–30 days before departure: 75 % of the total price is non-refundable.
Less than 30 days before departure: unfortunately no refund is possible, because every hotel room, train seat, and husky is already paid for and can’t be resold last-minute.

All cancellations must come in writing to [email protected]. The date we receive the email is the official cancellation date.

Trip Cancellation Protection (Highly Recommended)
We strongly urge everyone to buy comprehensive travel insurance with “cancel for any reason” coverage the moment you book. It’s the only way to get money back if you have to cancel inside the 90-day window because of illness, family emergencies, or anything else life throws at you. We can recommend reliable US-based policies if you need.

Cancellation or Major Changes by Us
If we have to cancel a departure (extremely rare, but weather, minimum numbers, or global events can happen), you get two choices: transfer to another date at no extra cost or receive a 100 % refund, no questions asked. If we have to make a significant change (different country, season flipped, etc.), you can accept the change or get a full refund.

Force Majeure
Natural disasters, war, pandemics with official travel bans, or anything else completely outside human control means neither side owes the other penalties. We will refund everything we can recover from suppliers and offer generous credit for future travel for the rest.

Partial Cancellations or Name Changes
Want to switch a traveler? Up to 45 days before departure we do name changes for a $75 fee per person plus any airline or supplier charges. After that it’s treated as a cancellation + new booking.

Refunds Process
Whatever you’re owed comes back the same way you paid, usually within 10 business days of the approved cancellation. Card refunds can take a few extra days to show up on your statement.
